Payroll Specialist

The Payroll Specialist is responsible for all aspects of payroll, including reviewing, processing and auditing payroll. In addition, the Payroll Specialist is responsible for on-boarding new employees including conducting background checks, sending out offer letters, time card training and review of benefit offerings.

We are looking for someone who is flexible and comfortable working in a fast-paced environment where priorities are often changing as well as someone who is able to work with all types of personalities.  The candidate must have a high attention to detail.  We are looking for someone that takes ownership of the role and able to work with minimal supervision.  Someone that is extremely confidential, reliable and is able to maintain consistent attendance in order to meet strict deadlines. 

Responsibilities:

Payroll

  • Enters new hires, update changes and terminations via payroll system
  • Verifies setup of benefits in HRIS system for new hires and termination of benefits in HRIS system for terminated employees
  • New hire orientation of time card system
  • Audits time cards and follow up with employees and/or managers on discrepancies
  • Processes bi-weekly multi-state payroll
  • Tracks sick, vacation and personal balances
  • Processes monthly sales & executive bonuses
  • Processes quarterly staff bonuses
  • Processes bi-weekly expense reimbursements and responsible for auditing to make sure expenses are within Company policy and receipts are attached
  • Answers employee and management payroll inquiries
  • Codes & processes payroll journal entry to upload into Accounting system
  • Reconciles monthly insurance statements from carriers and Corporate headquarters via inter-company mail
  • Calculates payroll, vacation and profit sharing accruals
  • Creates ad hoc reports
  • Files quarterly Worker’s Comp for state of Washington

 

Human Resources

  • Coordinates background checks on new hires
  • Sends out offer letters and new hire paperwork via e-sign making sure all documents are complete and filed
  • On-boarding of new hires including time card training and benefit overview

 

Qualifications:

  1. Three to five years of similar or related experience.
  2. Two-year college degree or completion of a specialized course of study at a business or trade school.
  3. Intermediate Microsoft Excel skills, including pivot tables, vlookups, etc.
  4. A thorough understanding of the G/L process including accruals.
  5. Knowledge of federal, state and local employment laws and regulations
  6. Experience with ERP software, experience with NetSuite a plus.
  7. Experience using ADP WorkForce Now, UltiPro and/or Concur a plus.
